Getting started
What does Bbrok do?
Patients message your clinic's WhatsApp number and book an appointment through a short chat — no app to install, no phone calls. Every booking appears on your clinic dashboard in real time. The assistant handles the back-and-forth (picking a day, a session, confirming) so your front desk doesn't have to.
What do we need to get started?
Just a handful of details:
- Your clinic name.
- Your address and Google Maps location — shown to patients so they can find you.
- A phone number and email to reach you on for setup, invoices, and billing updates.
Optional: your GST details for invoices. Your dedicated WhatsApp booking number is included — we handle the whole setup and send you your dashboard login. Nothing to install.
Do I need my own WhatsApp number?
No — a dedicated WhatsApp booking number is included with your plan. We set it up and hand it over ready to use, so you never share an OTP or connect anything yourself. Put it (and your QR code) on your signboard and prescriptions, and patients simply message it to book.
Do patients need to install anything?
No. It all happens inside WhatsApp, which patients already have. They send any greeting — "Hi", "book", "appointment", or "வணக்கம்" — to your clinic's number and the assistant replies with the next available days and sessions. Share your WhatsApp number (or a wa.me link / QR code) on your signboard, prescriptions, and social media so patients know where to message.
What languages does it support?
The assistant chats with patients in English plus 7 Indian languages — Tamil, Hindi, Malayalam, Telugu, Kannada, Bengali and Marathi. Each clinic picks the languages its patients speak, and the patient chooses theirs at the start of the chat.
Bookings & tokens
What is a token, and how are they numbered?
Instead of fixed time slots, patients book a session (Morning, Afternoon, or Evening) and get a token number — their place in line for that session. Tokens count up from #1 within each session, and patients are seen in token order, just like a physical queue.
How does the estimated time work?
Each patient gets a one-hour arrival window based on their token and your average consultation time. At 5 minutes per patient you see 12 an hour, so tokens 1–12 are told "9 – 10 AM", tokens 13–24 "10 – 11 AM", and so on. It's a guide to reduce crowding, not a fixed appointment.
How do we mark a patient completed or cancelled?
On the Bookings page, use the Mark as control on each row to set a patient to Completed or Cancelled. Keeping this up to date keeps your queue accurate and feeds the numbers on the Stats page.
Changes, cancellations & no-shows
Can a patient change or reschedule their appointment?
Yes. The patient messages the clinic again — any greeting like "Hi" works — and taps Reschedule. They pick a new day and session, and their old token is released so the slot opens up again. If they move to the same day and session, they keep their original token. Cancel is offered the same way, so a patient can sort it out themselves without calling the front desk.
What happens when a patient doesn't show up?
If a booking is never marked completed and its session has passed, it's recorded as a No-show. No-shows are tracked separately from cancellations on your stats page, so you can see how often it happens, and repeat no-shows from the same number are noted so you can spot patterns.
Does the patient get told when a booking is cancelled?
Yes. When you cancel a booking, the patient gets a WhatsApp message letting them know. They can simply message the clinic again to rebook.
Hours & availability
Can we set our own session timings?
Yes. Go to Settings → Session hours. You can set start and end times for Morning, Afternoon, and Evening, and toggle any session on or off. A session that's switched off disappears from the patient's booking options everywhere.
How far ahead can patients book?
That's the Booking window in Settings — the number of days ahead patients can pick from. Lower it to keep bookings close-in, raise it to let patients plan further out.
We're away on holiday. Can we stop new bookings?
Yes — in Settings, use the Accepting bookings toggle at the top. When it's off, patients who message get a polite "not accepting bookings right now" reply and no new tokens are issued. Flip it back on when you return.
Pricing, trial & billing
What does it cost?
You start with a 30-day free trial. After that it's a flat monthly fee (inclusive of 18% GST) — no per-booking charges and no setup fee. See the pricing section for the current rate.
Will we be charged during the free trial?
No. The trial is free — nothing is charged until you subscribe. We email you a reminder as your trial nears its end, so there's no surprise.
How do we subscribe and pay?
On the Billing page, tap Subscribe now. You'll set up UPI AutoPay on Razorpay's secure page — after that the monthly fee is collected automatically, so you never have to remember to pay. Payments are handled by Razorpay; we never see your bank or card details.
Do we get a GST invoice?
Yes. Every payment appears under Past invoices on the Billing page — click any row to open a proper GST tax invoice you can print or save as a PDF. We also email a receipt to your billing email after each successful payment.
How do we cancel? Is there a lock-in?
There's no lock-in. On the Billing page, tap Cancel subscription — auto-renewal stops right away and no further payment is taken, but your bot keeps working until the end of the period you've already paid for. There's no cancellation fee, and the same page shows a Resubscribe button if you change your mind.
What happens if a payment lapses?
There's a short grace period after your billing date. If it lapses, the assistant pauses new bookings and tells patients to contact the clinic directly — your data and dashboard stay intact. As soon as your payment goes through, bookings turn back on automatically, and we email you if a payment fails.
